How a CPA firm answers every lead in hours, not days
Published November 5, 2026 · By Antonio Turrentine, Founder, Trident Technical Consulting
Askin Financial Services, a CPA firm, used to take two to three days to answer each new inquiry by hand. We connected its website form to a lead tracker, an instant branded welcome email, and a self-serve booking link. In the first two months live, the owner's response time dropped about 90%, and 3 of roughly 7 leads became clients.
July to August 2026, the first two months after launch, as reported by the client. Results vary by firm.
The challenge: every lead was handled by hand
Askin Financial Services provides tax planning, bookkeeping, accounting, and financial advisory services. It received one to two new inquiries a week through its website, and each one ran through the owner's email inbox.
For every inquiry, he had to read it, write a reply, and trade emails until a consultation time worked for both sides. That took two to three days to start and one to two hours per lead to finish.
“The biggest headache was the amount of back-and-forth and the fact that I had to manually manage every step of the process.”
The solution: an automated lead pipeline
We built the system in July 2026 on tools the firm already had, so there was no new software for the owner to learn or pay for.
- Capture. A prospect submits the contact form on the firm's website. An automation receives it instantly and cleans the data, including formatting phone numbers.
- Track. Each lead lands in one tracker with a status (New, Contacted, Consultation Scheduled, Follow-Up Needed, Closed-Won, Closed-Lost), so nothing falls through the cracks.
- Respond. The prospect instantly receives a branded welcome email from the firm, explaining its services and what happens next.
- Book. The email includes a link to book a free consultation from the owner's calendar, which removes the scheduling back-and-forth.
The owner still replies personally. The system handles the first touch and the scheduling, so his time goes to the conversation.
The results: faster from inquiry to consultation
The biggest change was speed, not volume. Over the first two months live, the number of website leads stayed about the same, but each one moved to a booked consultation in hours instead of days.
| Measure | Before | After (July to August 2026) | Change |
|---|---|---|---|
| Time to respond to a new inquiry | 2 to 3 days | Instant welcome email; personal reply within a few hours | ~90% faster |
| Leads that get an immediate response | Depended on inbox checks | Every lead, automatically | 100% of leads |
| Scheduling time per consultation | 1 to 2 hours of back-and-forth | Prospect books from a link | 7 to 14 hours saved |
| Leads that became paying clients | Not tracked | 3 of about 7 | 43% conversion |
| New recurring revenue | — | 3 clients at up to $350/month | Up to $12,600/year |
Figures are the client's own estimates. “~90% faster” compares a reply within about 5 hours to the previous 2-day minimum. Revenue assumes each new client is on the firm's top monthly package ($350); packages range from $150 to $350 a month. Askin Financial Services received this project at no cost in exchange for permission to share the results.
“What used to take several days of back-and-forth can now happen within hours.”
In the client's words
“I would definitely recommend it, especially if you are spending a lot of time manually responding to leads and coordinating consultations. The biggest benefit for me has been reducing the amount of administrative work and being able to respond to potential clients much faster.”
